Self-hosted and organisation-managed deployments
Contact the administrator of the Bantay Mail deployment. The administrator normally controls mailbox creation and deletion, directory accounts, aliases, forwarding, groups, archives, backups, logs, and retention policy. KiTech Software generally cannot delete information stored in infrastructure it does not operate.
Ask the administrator to confirm whether the request covers:
- the login or directory account;
- the primary mailbox and folders;
- aliases, forwarding rules, mailing lists, and group memberships;
- shared mailboxes or delegated access;
- server-side contacts, calendars, or related data where enabled;
- archives, retained messages, and legal holds; and
- backup copies and the applicable backup-expiry period.
KiTech-operated services
Where KITECH SOFTWARE LTD operates the relevant Bantay Mail account or service, email hello@kitechsoftware.com from the address associated with the account.
Include:
- the email address or account identifier;
- the organisation or deployment name;
- whether the request concerns a mailbox, login account, or both; and
- whether any administrative ownership or shared resources need to be transferred first.
We may require reasonable identity or administrator verification. Do not send passwords, recovery codes, private keys, identity documents, or mailbox content unless specifically requested through a secure channel.
What may remain after deletion
Deletion may not remove:
- messages already delivered to or retained by other recipients;
- journals, archives, audit records, or legal holds controlled by the deployment operator;
- security and abuse-prevention records required for a legitimate purpose;
- billing, tax, contractual, or regulatory records;
- backup copies awaiting normal rotation or expiry; or
- public mailing-list posts or records that form part of another user's or organisation's data.
Before deleting a mailbox
Export any information you are entitled to retain, transfer administrative ownership, update recovery addresses, and remove forwarding or delegation that should not continue. Deletion may be irreversible after the applicable recovery and backup periods expire.
