Data Deletion Policy

How users may request account and personal-data deletion from KiTech Software services.

1. Scope

This policy explains how to request deletion of an account or personal information controlled by KITECH SOFTWARE LTD.

Product-specific deletion instructions take priority where they provide a direct in-product or web-based deletion process.

2. Requesting deletion

Where a product provides account creation, users should use the in-product account-deletion control where available.

You may also request deletion by emailing hello@kitechsoftware.com with the subject Account deletion request and including:

  • the product or service name;
  • the account email address or username;
  • the organisation or deployment, if applicable; and
  • enough information to locate the account without sending passwords, recovery codes, or unnecessary identity documents.

3. Identity verification

We may need to verify that the requester is the account holder or is authorised to act for them. Verification will be proportionate to the sensitivity of the account and the risk of unauthorised deletion.

We will not ask for a password by email.

4. What deletion normally includes

Subject to the product architecture and applicable law, deletion may include:

  • closing the account;
  • removing or anonymising profile information;
  • revoking active sessions and credentials;
  • deleting content controlled solely by the requester;
  • removing account associations from active systems; and
  • scheduling eligible backup copies for expiry or overwrite.

Content shared with other people, retained by an organisation, replicated across authorised deployments, or required for conversation integrity may be deleted, anonymised, disassociated, or retained according to the product-specific notice and applicable law.

5. Information that may be retained

Limited information may be retained where reasonably necessary for:

  • legal, tax, accounting, or regulatory obligations;
  • fraud, abuse, security, safeguarding, and incident prevention;
  • dispute resolution or legal claims;
  • enforcement of restrictions against repeat abuse;
  • records of consent, deletion, or contractual activity; or
  • protected backups awaiting scheduled expiry.

Retained information will be limited to the lawful purpose and protected from ordinary use.

6. Organisation-managed accounts

Where an account is controlled by an employer, customer, school, charity, community, or other organisation, that organisation may be responsible for the deletion decision and the content stored in its deployment.

KiTech will direct the requester to the responsible organisation where KiTech acts only as a processor or cannot independently delete the data.

7. Self-hosted deployments

For self-hosted software, the deployment operator normally controls account and data deletion. KiTech may not possess or have access to the deployment’s user data.

8. Timing

We aim to acknowledge deletion requests promptly and complete valid requests within the period required by applicable law. Complex, disputed, multi-party, or legally restricted requests may require additional time.
